About the role:

Our client is seeking a Finance and Admin Assistant to join their team. This role is responsible for ensuring smooth administrative operations, maintaining accurate financial records, and supporting the delivery of high-quality, professional services to clients. The ideal candidate is highly organised, detail-oriented, and capable of managing multiple priorities across different businesses, while maintaining confidentiality and professionalism.

Key Responsibilities:

  1. Administrative Operations (Internal & Client Support)
  2. Manage day-to-day administrative operations for Talent House
  3. Maintain organised filing systems (physical and digital)
  4. Coordinate meetings, calendars, and internal scheduling
  5. Prepare professional documents (contracts, reports, proposals, invoices)
  6. Support onboarding documentation for Talent House and client employees
  7. Ensure proper record-keeping for HR and compliance documentation

  8. Accounting & Financial Management

  9. Maintain accurate financial records (income, expenses, reconciliations)
  10. Prepare and issue invoices to clients
  11. Track receivables and follow up on outstanding payments
  12. Process payments and manage expense tracking
  13. Support monthly financial reporting and basic management accounts
  14. Assist with budgeting and cash flow tracking
  15. Liaise with external accountants/auditors where required

  16. Client Support (Key Differentiator)

  17. Provide administrative and accounting support to assigned clients
  18. Support client payroll coordination (where applicable)
  19. Assist in setting up basic financial and admin systems for clients
  20. Ensure timely and professional communication with clients
  21. Maintain confidentiality across multiple client accounts

  22. HR & Recruitment Support

  23. Support recruitment coordination (interviews, scheduling, documentation)
  24. Prepare offer letters and employment contracts
  25. Maintain candidate and employee records
  26. Assist in onboarding processes for client organisations
  27. Support HR documentation and reporting

  28. Systems & Process Improvement

  29. Identify opportunities to improve administrative and financial processes
  30. Support implementation of systems (HR, finance, document management)
  31. Ensure consistency and standardisation across internal and client processes

Compensation:

The incumbent will receive a competitive salary commensurate with experience.
