About the role

DETAILED JOB DESCRIPTION: OFFICE MANAGER

Location: Solwezi, North-Western Province, Zambia
Department: Operations & Client Service
Reports to: Director / Remote Lead Consultant
Employment Type: Full-time

Role Purpose
The Manager will lead the Solwezi office operations and ensure the delivery of high-quality tax, compliance, and management consulting services. You will manage client delivery, team performance, and office profitability while upholding Vepmac’s standard of “Certainty” for clients.

Key Responsibilities

Operations & Technical Delivery

  • Oversee all client engagements: ZRA returns, VAT, PAYE, corporate tax, provisional tax, NAPSA, NHIMA, payroll, bookkeeping, and audit support.
  • Review all work for accuracy and compliance before submission.
  • Ensure all deadlines are met.
  • Handle complex client issues, ZRA audits, queries, and penalties.
  • Liaise with authorities on behalf of clients.
  • Implement internal controls and quality assurance processes.

Team Leadership & Administration

  • Supervise Sales Officer and support/admin staff.
  • Set targets, conduct performance reviews.
  • Manage office administration: scheduling, filing, billing, collections, and procurement.
  • Coordinate with the remote Lead Consultant on systems, templates, and technical updates.

Client Management & Business Growth

  • Be the primary contact for key accounts.
  • Build trust and retain high-value clients.
  • Support the Sales Officer in technical presentations and closing deals.
  • Build relationships with ZRA, NAPSA, PACRA, Solwezi Chamber of Commerce, and mine suppliers.
  • Identify opportunities for new service lines: management systems, internal controls, training.

Financial & Compliance Management

  • Monitor office budget, revenue, expenses, and cash flow.
  • Report monthly to Director.
  • Ensure office compliance with ZRA, NAPSA and other professional standards.
  • Maintain client confidentiality and data protection.

Qualifications Required

Education: Bachelor’s Degree in Accounting, Finance, Business Administration, or related field.

Professional Qualification: ZICA Licentiate/Professional, ACCA, CIMA, or studying towards is strongly preferred.

Experience: Minimum 3-5 years experience in tax, accounting, or audit. At least 1 year in a supervisory/manager role. Consulting experience is an advantage.

Technical Knowledge:
* In-depth knowledge of Zambian Tax Laws, ZRA TaxOnline, TPIN, VAT, PAYE, Withholding Tax
* Knowledge of NAPSA, NHIMA, Employment Act, Companies Act
* Proficient in QuickBooks, Sage, Excel, and MS Office

Skills:
* Leadership, coaching, and team management
* Strong analytical, problem-solving, and decision-making skills
* Excellent client relations and communication skills
* High integrity and attention to detail.

Other Requirements:
* Must be based in Solwezi and willing to travel within NWP
* Member of ZICA in good standing is an advantage
